Job Vacancy : Deputy Community Council Clerk and Allotments Officer
Location: SWAN Office
Salary: Local Government Pay Scale Spinal Point 12-17 depending on experience
Hours: Part Time 12 Hours Per Week plus 1 evening meeting per month as required.
Contract: Permanent subject to 6 months probationary period.
About the Role
This key role supports the Community Council Manager in delivering the administrative, operational and statutory functions of the Council. You will help ensure the effective management of the Council’s allotments, oversee key communications, support health and safety compliance, provide HR administration and act as deputy to the Community Council Manager as required. The position is varied and essential for sustaining high-quality community services and engagement.
Main Responsibilities
- Administer tenancy agreements, renewals, waiting lists and liaise with plot holders and contractors.
- Manage and maintain the Council website, social media and internal/external communications.
- Maintain and update risk assessments and monitor health and safety standards across council assets and activities.
- Prepare agendas, reports, minutes, and support council meetings and events.
- Provide HR administration including absence and training records, and support the updating of staff handbooks and policies.
- Attend full Council meetings in the absence of the Community Council Manager and present reports as needed.
- Other duties in line with supporting the effective running of the Council.
The Ideal Candidate
Essential:
- Previous administrative experience and office environment experience.
- Experience servicing committees and minute-taking.
- Experience dealing with the public (face-to-face, by phone and email).
- GCSE English and Maths at grade 4/C or above (or equivalent).
- Good verbal and written communication and numeracy skills.
- Able to manage own workload and prioritise, including to tight deadlines.
- Ability to work independently and as part of a small team.
- Competent in MS Teams, Word, Excel, PowerPoint and Outlook.
Desirable:
- Qualifications at A Level or above.
- Experience using Canva, accounting software (e.g. Xero), and remote working.
- Experience with website updating and social media posting.
- Working knowledge of Local Government.
- Access to a car and a clean driving licence.
Behaviours:
- Flexible and willing to attend an average of one evening meeting per month.
- Good interpersonal and organisational skills.
